Bionicc Body Screening: Our Cancellation Policy

At Bionicc Body Screening, our mission is to provide you with a comprehensive, life-saving look into your health. When you schedule a preventative full-body MRI with us, we dedicate substantial resources to your care. Because we operate a single, specialized MRI machine, your appointment time is reserved exclusively for you. Depending on your chosen screening package, we block off one to two full hours of machine and staff time to ensure you receive a thorough, unhurried evaluation.

We know that life can be unpredictable, and things out of your control do happen. We genuinely understand and sympathize with unexpected emergencies. However, because our time blocks are so extensive, a late cancellation or missed appointment leaves a large gap in our schedule that could have been given to another client seeking proactive health insights.

To ensure fairness to both our clients and our clinical team, we enforce the following scheduling and cancellation policy:

1. Two (2) Business Days Notice Required

If you need to reschedule or cancel your appointment, we require a minimum of two (2) business days' advanced notice.

For example, if your appointment is on a Monday, you must notify us by the corresponding time on the preceding Thursday.
This window gives us a fair opportunity to contact clients on our waiting list and fill the dedicated time slot.

2. Cancellation and Late Rescheduling Fees

We require a deposit to secure your dedicated time block. If you fail to provide at least two (2) business days' notice to cancel or reschedule, or if you do not show up for your scheduled appointment, you will be subject to a total cancellation charge of up to $250.

Forfeiture of Deposit: Your initial prepaid deposit will be immediately forfeited.
Additional Charges: If your initial prepaid deposit was less than $250 (for example, a $50 deposit), Bionicc Body Screening will automatically charge the credit card on file for the remaining balance required to reach the $250 total fee.
Deposits Over $250: For any specialty packages where the initial deposit exceeded $250, a maximum of $500 remains subject to forfeiture to cover the specific administrative and lost clinical utility costs of that extended time block.

3. Late Arrivals

Please arrive at our facility at least 15 minutes prior to your scheduled time to complete any necessary intake forms and prepare for your scan. If you arrive late, your scanning time may be shortened to accommodate the next scheduled client, or it may be deemed a late cancellation subject to deposit forfeiture if the scan can no longer be safely completed within the remaining window.

4. Policy Acknowledgement and Legal Disclaimer

By paying your deposit and securing your appointment slot with Bionicc Body Screening, you explicitly acknowledge that you have read, understood, and agreed to this Cancellation and Rescheduling Policy.

No Waiver: Bionicc Body Screening reserves the right, in its sole and absolute discretion, to evaluate severe, documentable medical or personal emergencies on a case-by-case basis. Any leniency or waiver of this policy in an individual instance does not constitute a waiver of the policy for future bookings or for other clients.
Governing Law: This policy and all scheduling agreements are governed by and construed in accordance with the laws of the State of Michigan. If any provision of this cancellation policy is found to be unenforceable under applicable law, the remaining provisions will continue in full force and effect.
